No Prepared Units to Select to Dose Patient

Troubleshooting Dosing and Dispensing

The following situations should only apply to centers utilizing the Pharmacy/Pre-Pour screen – those using unit inventory to dose window and/or take-home doses.

In pharmacy/pre-pour sites, your system is configured to expect unit doses to be prepared a certain way – with a patient specific label or not, for take-homes only or not, etc. So when a patient presents to the window, depending on your configuration, the system expects to have a unit dose prepared. If one has not been created in the pharmacy/pre-pour screen or is not available in unit inventory, you will get an error message or will find there are no units in the Unit ID dropdown to select. 

AVOIDING THE PROBLEM

The easiest solution to this issue is to train nurses/pharmacy staff to avoid it.

If utilizing a pharmacy for pre-prepared doses, it may be helpful to keep non-patient-specific units on hand for common doses to use in situations where there is not a dose prepared and regulations do not allow a nurse to create a unit.

Non-patient-specific units will be shown and available to dispense in Medical Dosing if there is no patient-specific dose available in Unit Inventory.

Prior to dispensing a patient’s window dose, check Pharmacy/Pre-Pour > Unit Inventory and confirm all of the patient’s units have been prepared for them.

SOLUTION

In Medical Dosing, when dispensing to the patient, if there is no Unit ID in the drop-down to select (whether for a patient-specific window dose or for take-home doses only), a unit will need to be created in Pharmacy/Pre-Pour.

1. Select Pharmacy/Pre-Pour from the Dispensing Menu
2. Select today’s date in the Patient Specific Tab and click Submit
3. Enter the patient’s ID in the filter/search field, select doses, and click “Dispense Doses” in the far-right column

Please remember to always abide by your state regulations, and policies and procedures when creating and dispensing unit doses.

4. Choose whether to print labels, select the bottle to dispense doses from, and click “Dispense Doses”

You can then go back to the Medical Dosing screen and use the EXCEPTION TAKEHOMES button to dispense the units you just created to the patient.
